Frequently asked questions

Short answers about how Alyaat works for rental companies and customers.

Platform basics

Alyaat is a platform for equipment rental companies, with a shared public portal where customers browse listings and request rentals across participating companies.

Rental companies use the tenant workspace to manage equipment, contracts, and billing. Customers use the public portal to search equipment, send rental requests, and chat with companies.

The company dashboard is private per tenant for staff operations. The customer portal is the cross-tenant layer that only shows equipment published for rental or sale, without internal tenant data.

Yes. Each company runs in its own tenant space with roles and data separation via tenant_id; users only see their own company data.

Contracts use an overlap check on equipment units for confirmed, active, and on-hold periods, plus maintenance blocks, so conflicting bookings are rejected.

Companies and plans

A company can manage equipment and maintenance, rental contracts, invoicing and payments, and customer records inside one private workspace.

Yes. New companies can start a 14-day trial of the Full plan before choosing a paid subscription.

No. Customers use the public portal for free to browse published listings, request rentals, and message companies.

Companies opt in to the portal, publish eligible listings, and keep an active subscription so their equipment can appear to customers.

Equipment, assets & maintenance

Equipment management includes equipment types and units, asset numbers, photos, maintenance, expenses, movement history, and marketplace listings.

Each unit gets a system-wide unique asset number so the company can identify units across the workspace.

Yes. Maintenance windows block the unit so overlapping confirmed, active, or on-hold bookings are rejected.

Rental contracts & availability

Contracts use an overlap check on equipment units for confirmed, active, and on-hold periods, plus maintenance blocks, so conflicting bookings are rejected.

Yes. A company can rent several units on one contract and manage hold, extend, and return from that contract.

Contracts move through draft, confirmed, active, on hold, completed, and cancelled.

Invoicing & payments

Staff issue an invoice from a rental contract. Billing keeps one invoice per contract.

Cash, bank transfer, card, or other. Payments are recorded manually in the workspace.

Each invoice is unpaid, partial, or paid based on recorded payments.

Customer CRM

A company can keep customer type, identity or commercial registration, phone, email, country, city, credit limit, and rental history.

Rental history appears on the customer detail page inside the company workspace, alongside contact and credit limit fields.

Accepting a portal request creates or links a customer record and opens a draft contract ready to complete.

Company profile & branding

A company can set business details, contact information, logo, and branding used across the workspace and public surfaces.

Yes. Company branding helps customers recognize your business on public listings and company profile pages.

Company owners and admins with the right permissions can update profile and branding settings.

Users & permissions

Alyaat supports owner, admin, staff, and accountant roles with different module access inside the company workspace.

No. Users only see data for their own company tenant.

Company owners and admins with the right permissions can invite and manage team members.

Marketplace listings & requests

Companies publish eligible equipment units they choose to show on the public customer portal.

No. The portal shows published listings and request status without exposing private tenant operations.

Staff can create or link a customer record and continue with a draft contract in the company workspace.

Send rental requests

No. The customer portal is free for browsing published listings and sending rental requests.

When a company publishes eligible listings, inbound rental requests appear in the company workspace for review.

The company can create or link a customer record and continue with a draft contract.

Smart availability calendar

Green means free, red means booked by a confirmed, active, or on-hold contract or by maintenance, and yellow means pending on a draft contract. Split days mark check-in or check-out.

Draft contracts show as pending so staff can see tentative bookings. Overlap checks apply to confirmed, active, and on-hold contracts.

Maintenance windows mark the unit as booked for those days, so overlapping rentals are rejected until maintenance ends or is cancelled.

Integrated platform for managing and renting equipment

Yes. Equipment owners—rental companies and individuals with vehicles or machinery—can register a workspace and manage their fleet.

Register your account, add your vehicles or equipment units, then publish or wait for rental requests.

You can manage customers, contracts, invoices and payments, maintenance and expenses, and team permissions.
